Who does what at IWU when you need a clinical placement
IWU spreads clinical responsibilities across several roles, and none of them is a placement office. Faculty work with you on the search, the School of Nursing approves, the Program Leader and deans handle exceptions, and a set of offices manages withdrawals, leave and appeals. Knowing who owns which question means you ask the right person first.

The short map
This table gathers the roles IWU names in its catalog and program pages for online nursing students, with what each one handles in a practicum.
| Role | What it handles |
|---|---|
| You, the student | Identify potential preceptors and sites, submit documentation, complete compliance, log hours honestly |
| Program and course faculty | Work with you on securing placements; site visits and evaluations in each FNP clinical course; approve DNP practicum hours |
| School of Nursing | Approves clinical sites and preceptors, in IWU's own wording |
| Program Leader | Approves incomplete grades; arranges retakes with the Office of Learner Success |
| Dean of the Division of Doctoral Programs, or designated academic leader | Approves DNP practicum work and exceptions |
| Academic advisor | Assigned before your start date; IWU advises confirming site agreements early with an advisor |
| Office of Learner Success | Withdrawals and temporary leave, arranged before a course begins |
| Deans and the CAPS Appeals Committee | Readmission, appeals and extended probation |
Faculty: your partners in the search
Faculty are the IWU role closest to your placement. The FNP certificate FAQ describes students working with program faculty to secure placements while identifying potential preceptors and sites themselves. Once the clinical is underway, faculty make site visits and conduct evaluations in each FNP clinical course, assessing your progress and the effectiveness of the preceptor and site.
For doctoral students, faculty carry an approval role too. Course faculty, or a designated academic leader, approve the practicum hours BSN-to-DNP students log, following the DNP Project Manual.
No dedicated graduate clinical placement team or coordinator appears on IWU's public pages. Faculty are the people to ask whether a practice fits a course, what your course requires this term, and how your submission is progressing. Our faculty site visits page covers the oversight side.
The School of Nursing and the approval step
IWU's online nursing programs sit in the College of Adult and Professional Studies, within the School of Integrated Health and its Division of Nursing. IWU's program pages, though, use the name School of Nursing when they describe approval, saying School of Nursing approval is required for every site and preceptor.
In practice, that approval is the gate every placement passes through. IWU's recent catalogs record site and preceptor approvals in Medatrax, alongside health requirements and compliance education, and expect them submitted early in each practicum course, by week two. Who reviews a file at each stage is not published. The preceptor approval page explains what a reviewer needs to see. Your part is making sure the file that reaches the reviewer is complete and on time.
Program Leader, deans and committees
When a placement goes wrong, these roles decide what happens next. In the nursing division, an incomplete needs at least 75 percent of the coursework finished and a request to the instructor by email; the instructor then needs the Program Leader's approval, and faculty set an extension of up to 10 weeks. BSN-to-DNP incompletes also need the Dean's agreement. The Program Leader works with the Office of Learner Success on when a missed course is retaken.
Doctoral exceptions run through the Dean of the Division of Doctoral Programs or a designated academic leader, and the Student Life Council makes the final call on BSN-to-DNP exceptions. Withdrawing from a BSN-to-DNP course mid-course needs permission from the Associate Dean of Doctoral Programs or a designee.
Appeals sit higher up. Readmission applications and appeals go to the Dean of the School of Integrated Health, while extended probation is decided by the Division of Nursing's dean together with the CAPS Appeals Committee. See incompletes and course changes for the detail.
Advisors and student offices
Every IWU National & Global student is assigned an academic advisor, and the FNP certificate page says this happens before your start date, with a student success team adding support. Advisors meet by phone, email or Microsoft Teams. IWU's RN pathway article recommends confirming site agreements early with an advisor.
Several offices handle the administrative side of a disrupted clinical. The Office of Learner Success arranges withdrawals and temporary leave, and a student who cannot take a course must set that up before the course begins; a Registration Change Counselor processes the withdrawal itself. The Office of Student & Faculty Support Services handles holds and appeals on engagement withdrawals, which follow 14 consecutive days without engagement. A student away six months or more reapplies through the Office of Strategic Enrollment and Partnerships.
Your advisor and forms are reachable through the myIWU portal; the portal and Brightspace page shows where.
Arrange a withdrawal or temporary leave before the course begins. After it starts, the options narrow.
Roles on the Marion and RN-to-BSN side
The residential BSN works differently because IWU places students in faculty-led clinical groups. Its Division of Pre-licensure Nursing names a Clinical Coordinator, who tells students when to take the drug screen, along with an Admission and Progression Committee, a Freshman Level Coordinator and a Nursing Educational Resource Specialist. Because the division arranges those groups, a Marion student's clinical questions go to these roles rather than into a preceptor search of their own.
Online RN-to-BSN students deal with the Division of Post-licensure Nursing for their NUR-492 practicum, and that division sends instructions for any background check, drug testing or immunization tracking a practicum facility requires. More on the Marion program is on the Marion BSN clinicals page.
Where our placement desk fits
Look back at the map and one job sits entirely with you: the search itself. That is the work our placement desk exists to take on. Your placement advisor tracks down a local preceptor and site suited to the IWU course, prepares what IWU vets, and stays with you through the course, lining up a replacement if a preceptor drops. Whether you are an FNP student facing PYC-670 or a PMHNP student heading into PMHN-640, the search starts from the course in front of you.
Faculty, deans and the School of Nursing keep every decision that belongs to them, including final approval. We make sure the file that reaches them is complete and matches IWU's rules from the first submission. Read how it works or tell us about your course with the form below.
Questions IWU students ask
Does IWU have a clinical placement coordinator for online students?
No coordinator, placement team or site database for online graduate students appears on IWU's public pages or in its catalog. Program faculty work with you, and the School of Nursing approves sites and preceptors. The Marion BSN does name a Clinical Coordinator, but that role serves the residential program.
Who do I contact if my preceptor drops out mid-course?
Start with your course faculty, who oversee the clinical and can tell you how much time the course allows. If you may need to sit out a course, the Office of Learner Success and the Program Leader handle retakes. Our preceptor dropped out page walks through the next steps.
Who approves an incomplete in an IWU clinical course?
Your instructor, with the Program Leader's approval. The nursing division requires at least 75 percent of the coursework finished and a request by email, faculty set an extension of up to 10 weeks, and an incomplete is not available if attendance requirements were missed. BSN-to-DNP students also need the Dean's agreement.
Who handles withdrawing before a clinical course starts?
The Office of Learner Success, and the arrangement must be made before the course begins. A Registration Change Counselor processes withdrawals. Enrollment limits can push back the cohort a returning student joins, so plan the return date as early as you can.
Will my IWU academic advisor find a preceptor for me?
That is not how IWU describes the role. IWU puts the search with the student, and program faculty support it. Your advisor is still useful: IWU's own RN pathway article recommends confirming site agreements early with an advisor, which makes them a good contact once a likely site is in view.
