Medatrax at IWU: what goes in, and the week-two deadline
Two recent IWU catalogs, 2024-25 and 2025-26, send every preparatory practicum requirement to Medatrax: approval of your site and preceptor, your health requirements and your compliance education. Reach the second week of a practicum course without those items submitted and you may be dismissed. The current 2026-27 pages leave that sentence out, and IWU has named no other system in its place.

What IWU's catalogs say about Medatrax
The rule sits in the policy text of IWU's 2025-26 catalog, and the 2024-25 edition carries the same requirement. Both describe the preparatory practicum requirements for IWU National & Global nursing students and send all of them to one system.
The three groups the catalogs name
- Site and preceptor approvals: the record that IWU has vetted and approved where you will train and who will supervise you. Our preceptor approval guide covers how that vetting works.
- Health requirements: the clearance and immunization documentation IWU asks for before clinicals begin.
- Compliance education: required training, also submitted in Medatrax; what it covers, including whether HIPAA is part of it, is not published.
The consequence is written just as plainly. If these items are still outstanding once a practicum course passes its second week, the student may be dismissed.
Why week two shapes your whole timeline
Week two is a deadline for finished paperwork, not a starting point for your search. Before you can submit a site and preceptor approval, you need a preceptor who has agreed, a site willing to host you, and the documents IWU reviews.
IWU's online graduate courses run one at a time in a prescribed order, so the deadline returns with every practicum course. A new preceptor for PYC-681 or a new site for PMHN-640 means a new approval to have in place by that course's second week.

Treat the second week as the last possible moment, not the goal. Aim to have every Medatrax item submitted before the course opens.
What the preparatory requirements include
The catalogs group requirements into approvals, health and compliance education. IWU's program entries add a few items NP students must clear before their first practicum, without always saying which system receives them.

What the 2026-27 catalog leaves open
In the 2026-27 catalog, the online nursing pages are silent on Medatrax, and IWU has published nothing newer that points to another platform. No public notice withdraws the requirement either, which is why this site describes it as coming from IWU's recent catalogs.
Until your program says otherwise, work to those catalogs: expect Medatrax to hold your approvals, health records and compliance education, and expect the week-two point to stand. Ask program faculty at orientation which system your cohort uses and when each item is due, and keep the reply.
IWU's published pages also don't say whether clinical hours or patient-encounter logs are recorded in Medatrax. Your syllabus names the place hours are logged; our page on clinical logs and integrity covers how to keep that record accurate.
Other systems and site onboarding
A CastleBranch portal titled Indiana Wesleyan University - Nursing also exists. Its public search listing says IWU Nursing partnered with DISA Healthcare (CastleBranch) for background checks, drug tests and health records, but IWU's own pages don't say which nursing programs use it. Follow whatever instructions your program sends.
Your clinical site may set requirements of its own. IWU's catalog says those must be met at your expense before any patient contact, so a hospital or practice onboarding packet comes on top of your Medatrax items, not in place of them.
Marion campus BSN students follow a separate process. Their records go into a secure online document management system that IWU does not name publicly, and a Clinical Coordinator tells them when to take the drug screen.

The site and preceptor approval is the Medatrax item that depends on other people, and it is where we do the heavy lifting. Once your placement advisor confirms a preceptor, we gather the preceptor's credentials, license details and site information that IWU reviews, so you can submit a complete approval request well ahead of week two.
Each search is timed to your course calendar, working back from the start date of every practicum course so the next approval can be ready before the current course ends. What is Medatrax at IWU?
Medatrax is the platform IWU's two previous catalogs (2024-25 and 2025-26) name for preparatory practicum requirements in the online nursing programs. Your approved site and preceptor, health documentation and compliance training all belong there. Your program's onboarding instructions will show how to access it and which items your course needs.
What happens if my Medatrax requirements are late?
Under IWU's 2024-25 and 2025-26 catalogs, a student whose preparatory practicum items are still missing in the second week of a practicum course faces possible dismissal. IWU publishes no grace period or appeal route specific to this rule. If you see a delay coming, contact your course and program faculty right away, before the second week arrives.
Does IWU still use Medatrax in 2026-27?
The 2026-27 online nursing pages do not repeat the Medatrax requirement, but they name no replacement system either. The safest reading is that Medatrax and the week-two expectation still apply until your program tells you differently. Confirm at orientation or with program faculty, and follow any newer instructions they give you.
Do preceptors have to set up anything in Medatrax?
IWU does not publish what, if anything, a preceptor does in Medatrax. The approval itself depends on information about the preceptor and site, so expect to collect credentials and site details from your preceptor. Your program's instructions will say who submits each part and in what format.
Is Medatrax the same as CastleBranch?
No, they are separate platforms. IWU's catalogs name Medatrax for practicum requirements, while a CastleBranch portal under IWU Nursing's name describes background checks, drug tests and health records through DISA Healthcare. IWU's pages don't say which programs use the CastleBranch portal, so rely on the instructions your program sends.
