Can't find a preceptor for your IWU course?
A stalled preceptor search is common and fixable, but IWU's calendar puts a clock on it. Recent IWU catalogs expect site and preceptor approvals in Medatrax early in each practicum course, and IWU's programs run in a fixed order. Why IWU searches stall
Most stalled searches hit the same few walls. Large health systems often accept students only through their own applications, put their employees first or require an affiliation agreement with the school; Deaconess in Evansville adds that it is not taking on new school affiliations at present. IU Health goes further and discourages any cold calls to its preceptors.
Other walls are about fit. FNP students need a primary care setting that can deliver adult, women's health and pediatric encounters. PMHNP students need psychiatric preceptors, who are fewer in most areas. And a clinician who says maybe in March may decline in July once their own schedule fills.

The deadline IWU's rules set
In IWU's 2024-25 and 2025-26 catalogs, Medatrax is where site and preceptor approvals, health requirements and compliance education go, and a student without them in place by week two of a practicum course may be dismissed. The 2026-27 pages leave that sentence out, so check your syllabus, but plan as if week two is your line. The Medatrax page has more.
Course order matters just as much. IWU's NP programs are lock-step: you take courses in the prescribed sequence, major courses need a B or better, a failed course brings administrative withdrawal from the program, and a second unsatisfactory grade brings dismissal. - Tell your program faculty where things standIWU says students work with program faculty to secure placements. Share who you have contacted and your course date; faculty can confirm what the course will accept and may know settings you haven't tried.
- Re-read what the course allowsCheck your syllabus and the NP Clinical Guidelines for setting rules. IWU's FNP certificate FAQ lists pediatrics, internal medicine, family practice and women's health among FNP rotations, which may reopen settings you had ruled out.
- Widen the map, within your licenseLook further from home, in any state where you hold an active, unencumbered RN license, since IWU needs one for each state with a practicum site.
- Look again at your workplaceAn IWU article allows practicum hours at your own job if the site satisfies faculty oversight, the course's learning objectives and preceptor qualifications. The workplace page covers the conditions.

If the course arrives before a site does
Sitting out a course is sometimes the right call, and IWU has a process for it. A student who has to miss a whole course arranges a withdrawal with the Office of Learner Success before that course begins, and the office works with the Program Leader to set when you retake it. IWU's 2025-26 catalog warns that a returning student's cohort placement may be delayed by enrollment limits and that a temporary withdrawal can affect financial aid eligibility.
Time away carries its own rules. IWU's withdrawal policy flags a possible tuition increase after 90 days out, and a student gone six months or longer returns under any curriculum changes made meanwhile. Once the gap passes six months, IWU adds a re-entry test for NP students: exams in advanced pharmacology, pathophysiology and physical assessment, plus a recorded full history and physical, both at the student's expense. Questions IWU students ask
Will IWU place me if my own search fails?
IWU's public pages put the search with the student: students are responsible for securing clinical sites and preceptors, working with program faculty, and the university vets and approves each one. IWU publishes no placement office or site database for online graduate students. Faculty can advise you, and a placement service can take on the outreach.
Can I start the clinical course and keep searching during week one?
It is risky. IWU's recent catalogs set week two of a practicum course as the point by which Medatrax should hold your site and preceptor approvals, and approval takes its own time once you find someone. If week one arrives without a preceptor, talk to your course and program faculty immediately about what your syllabus allows.
Can my clinical site be in another state?
IWU's pages place clinicals in your own community and require an active, unencumbered RN license in each state where you have a practicum site. A site across a nearby state line can work if you hold that license. The outside Indiana page covers the checks.
How long can I sit out before I need competency exams?
IWU's catalog draws the line at six months. Beyond that point, returning NP students take track-specific competency exams in the three core areas (advanced pharmacology, pathophysiology, physical assessment) and send in a recorded history and physical. A student who fails after two attempts must audit the course or courses before re-enrolling.
Can a specialty office count toward my FNP hours?
Some of it may. According to IWU's FNP certificate FAQ, specialty hours can be allowed in part, while most hours belong in primary care and outpatient settings across the lifespan. Check your syllabus and the NP Clinical Guidelines for limits before submitting a specialty site, and plan your encounter counts around it.
