Your preceptor dropped out mid-course: what to do now

A preceptor can step away for everyday reasons, such as a job change, a leave of absence or a practice rethinking its student policy. When it happens partway through an IWU clinical course, the fastest recovery pairs a replacement search with a clean record of the hours you have already earned. Here is what to do first and how IWU's rules shape your options.

What to do in the first few days

Tell your course facultyLet them know the date your preceptor stopped, the hours and encounters logged so far and what remains. Faculty decide how the course proceeds, and early notice gives them the most room to help.
Close out your records accuratelyMake sure your log matches the days you actually worked, with whatever sign-off your course requires. Falsified clinical hours mean immediate dismissal at IWU and a permanent bar from its master's nursing programs, so never pad a log to cover a gap.

Your replacement still needs IWU's approval

A new preceptor goes through IWU's review just as the first one did. The university vets and approves every site and preceptor, and its recent catalogs place those approvals in Medatrax. Plan to begin hours with the new preceptor only after IWU approves them, and confirm the exact rule in your syllabus. That makes a complete file the fastest way back to clinic.

The replacement should also fit what the course still needs. An FNP student short on pediatric encounters needs a practice that sees children; a PMHNP student in PMHN-640 needs a setting that supports family and group therapy. In FNP clinical courses faculty visit sites and run evaluations, so the new preceptor should expect a visit too. The preceptor approval page covers the review.

IWU's rules if the course runs short

If a replacement cannot be in place in time to finish the hours, these catalog rules decide what happens next.

Choosing between an incomplete and a withdrawal

An incomplete keeps your place in the sequence and buys time to finish hours with a new preceptor, which suits a student who has done most of the course. The nursing division's rule differs from the general CAPS rule, which asks for two-thirds of total points at C level through Student Engagement & Success and turns an unresolved I into an F after 10 weeks. Ask your faculty which applies to your course.

A withdrawal stops the clock on the course but not on the program. IWU's 2025-26 catalog notes that a returning student's cohort placement may be delayed, NP students out more than six months face competency exams and a history-and-physical video, and incompletes and withdrawals count as attempted but not earned for financial aid progress. Protect your grade while you recover

Your clinical course still needs a B or better, so treat the gap as a course problem as well as a scheduling one. Keep remaining assignments on time, update your faculty weekly and track the exact hours and encounters still owed, so the new preceptor knows the target on day one.

A course can be repeated only once, and IWU's catalog places a student on academic suspension from the major after two unsuccessful attempts. Questions IWU students ask

Do my hours with the old preceptor still count?

IWU's public pages are silent on carrying hours over after a preceptor change, so your course faculty are the people to ask. Hours worked under an approved preceptor and logged accurately put you in the strongest position. Keep copies of your log and any signed documentation, and ask faculty how to record the change of preceptor in the course.

Can I get an incomplete if my preceptor quits?

Possibly. The nursing division's incomplete needs 75% or more of the coursework done, an email to your instructor asking for it and sign-off from the Program Leader; faculty then set a deadline no more than 10 weeks out. Missing attendance requirements rules an incomplete out, and BSN-to-DNP students need the Dean's agreement as well.

Should I withdraw instead of waiting for a new preceptor?

Talk to your faculty first. A withdrawal before the last day earns a W, but in a lock-step program it moves your whole sequence, may delay your cohort placement and counts as attempted but not earned for financial aid progress. If a replacement is realistic within the course, a quick match or an incomplete usually costs less.

Will IWU faculty visit my new site?

For FNP clinical courses, IWU's FNP certificate FAQ says faculty visit sites and run evaluations that assess both the student and how well the preceptor and site work. Can the new preceptor work in a different kind of practice?

Yes, if it fits the course. FNP rotations at IWU center on primary care and outpatient settings across the lifespan, and each PMHNP course has its own focus. Choose a setting that fills the hours and encounter categories you still need, and confirm the fit with your course faculty before submitting.
