Find your real deadline
Your working deadline falls earlier than the course start. Under IWU's 2024-25 and 2025-26 catalogs, a student whose site and preceptor approvals, health requirements and compliance education are missing from Medatrax in week two of a practicum course may be dismissed. Approval needs time after a preceptor agrees, so the search itself has to finish sooner. Count back from week two, not from day one.
Check the dates you actually have. IWU National & Global runs one course at a time, typically 7 to 15 weeks long, and Brightspace opens each course to students 7 days before it starts. Run three tracks at once
- Track one: the searchSend us your program, course code, city and start date. We begin outreach to practices near you that fit the course, and confirm that each preceptor's schedule can carry your hours in the weeks available.
- Track two: the approval fileWhile we search, we set up the file IWU reviews, adding each preceptor's credentials, license and practice details as they come in. The moment a preceptor agrees, the file is nearly finished instead of just started.
- Track three: your own clearanceBefore touching a patient, IWU expects NP students to clear a repeat background check and a drug screen and to document health clearance and immunizations (TB, rubella, MMR, flu, hepatitis B), all paid by the student. Start these now; the background check page lists what is involved.
- Keep faculty in the loopTell your program faculty your timeline and any lead you have. They know what the course will accept and can flag a mismatch before it costs you days.
What speeds a match and what slows it
A few choices make a short-notice search much faster.
- Flexible clinical days, including early or late sessions where a practice offers them
- Openness to every setting your course allows; for FNP students that includes family practice, internal medicine, pediatrics and women's health
- A willingness to drive a reasonable distance from home
- Current license and compliance records you can share quickly
Some routes are slow by design. IU Health takes NP students through application windows that close months before the term, and Franciscan Health and Deaconess need a school affiliation agreement in place first. Keep engaging in Brightspace while you wait
The search should never pull you away from the course itself. IWU's 2026-27 engagement policy withdraws a student from a class after 14 consecutive days with no engagement, meaning no discussion post, no submitted assignment and no completed test or quiz. The window was 21 days in 2025-26.
In a lock-step program that withdrawal can reach further, because IWU may withdraw a student from the whole program when the program is lock-step, the course is a prerequisite or it is a second consecutive non-engagement withdrawal. A hold or appeal must reach the Office of Student & Faculty Support Services inside 7 calendar days, and accepted reasons include medical, military and employer-mandated absence and verified technical outages.
If time runs out anyway
If a site cannot be approved in time, talk to your faculty before the course begins rather than after. IWU's catalog asks a student who must miss a whole course to set up that withdrawal through the Office of Learner Success before the first day, and in a lock-step program a failed course leads to administrative withdrawal. A planned pause is almost always better than a failing grade.

How quickly can you find an IWU preceptor?
It depends on your specialty, where you live and how much the course asks for. A primary care search in a busy metro area tends to move faster than a psychiatric search in a rural county. Your placement advisor looks at your course and location and gives you a realistic read on timing at the outset, rather than a promised date.
What should I have ready before you start?
Your IWU program, the course code and start date, your city, the states where you hold an active RN license and the status of your background check, drug screen and immunizations. If you can share the syllabus pages on clinical requirements, add those too; they help match the preceptor to the course.
Can I submit my preceptor after the course has started?
IWU's recent catalogs give you until the second week of a practicum course for Medatrax approvals, with possible dismissal after that. Whether your course has room inside that window depends on your syllabus and faculty, so ask early. Treat week two as the latest point rather than a target.
Can I get an IU Health placement on short notice?
Rarely through the formal route. IU Health's Office of Clinical Education takes applications in set windows, such as March 1 to April 1 for fall with notification by May 15, and discourages cold-calling its preceptors. For a course starting within weeks, community practices that decide on students locally are the more realistic option.
Does a complete file make IWU approve faster?
IWU publishes no approval times. What a complete file does is remove one avoidable cause of delay: back-and-forth over missing credentials, license details or site information. We prepare that file with you so your submission reaches IWU ready for review.
